What Nexec is

Nexec is a job search management platform for senior professionals. It helps you track relationships, manage pipeline, and organize your search. To do that, it connects to your email, stores contact data you provide or that we extract from your communications, and uses AI to surface insights.

This policy explains what we collect, how we use it, and what control you have.

What we collect

Information you provide directly

  • Name, email address, and password when you create an account
  • Contact information you enter manually (names, emails, companies, titles, notes)
  • Opportunity details you add to your pipeline
  • Any notes, tags, or other content you create in the app

Information from connected accounts

When you connect your Gmail, Outlook, or iCloud account, we access:

  • Email metadata (sender, recipient, subject, date) for emails you've sent and received
  • A short preview of email body content, used to extract contact information and summarize interactions
  • Calendar events: title and attendees

We do not access drafts, delete emails, send emails on your behalf, or modify anything in your inbox. We store a summary and excerpt of relevant emails, not your full inbox. You can disconnect any account at any time from Settings, and we will delete stored data associated with that connection.

Information generated by the platform

  • Contacts, interactions, and opportunities we extract or infer from your email
  • Suggestions and follow-up recommendations generated by AI analysis
  • Usage data (which features you use, when, how often) for product improvement

How we use it

We use your data to:

  • Operate the platform: display your contacts, pipeline, and activity
  • Extract contacts and interactions from connected email and calendar accounts
  • Generate AI-powered suggestions and assessments
  • Send you product notifications (you can opt out)
  • Improve the product through aggregated, de-identified usage patterns

We do not:

  • Sell your data to third parties
  • Use your data to train AI models
  • Share your personal information with recruiters, employers, or any third party without your instruction
  • Use your email content for any purpose other than powering features you've activated

AI and data processing

Nexec uses Claude (Anthropic) to analyze email content and generate suggestions. When your email content is processed:

  • It is sent to Anthropic's API under their data processing terms
  • Anthropic does not train models on API inputs by default
  • Processed content is not stored by Anthropic beyond the duration of the API call

AI-generated suggestions are recommendations only. You control what actions are taken.

Data storage and security

Your data is stored in Supabase, a managed cloud database provider. We use row-level security to ensure users can only access their own data, encrypted connections (HTTPS/TLS) for all data in transit, and secure session management.

We are a small team and will be direct about our security posture: we take reasonable precautions, but we are not yet SOC 2 certified. If you have specific security requirements, reach out before connecting sensitive accounts.

Your rights and controls

You can, at any time:

  • Export your data — contact us and we'll provide a copy of all data associated with your account
  • Delete your account — this permanently removes all your data from our systems
  • Disconnect any connected account — stops future scanning and deletes stored data
  • Correct or update any information in your profile, contacts, or pipeline directly in the app

If you're in the EU or UK, you have additional rights under GDPR/UK GDPR including the right to restrict processing. Contact us at the address below.

Data retention

We retain your data for as long as your account is active. If you delete your account, we remove your data within 30 days, except where retention is required by law.

Changes to this policy

If we make material changes, we'll notify you by email and update the date above. Continued use of Nexec after changes constitutes acceptance.
